Message & Tips To Exhibitors

Welcome to Everything Babyfest. We appreciate your decision to exhibit at the "best under the rainbow" show. In order to ensure your success at the Fair & Expo, we have provided these convenient tips.

The most important thing to have when attending any expo is a positive attitude. The Everything Babyfest management staff and our contracted service providers will do everything we can to assist you and help make this show a rewarding experience. It is important to set realistic goals, and experience has shown that some products or merchandise are an immediate "hit" while others take time to develop. It is essential to understand your retail market and know your product demand prior to exhibiting.

We look forward to meeting you in person and hope that Everything Babyfest exceeds your expectations. Above all, be sure to take advantage of the Fair's networking opportunities. And don't forget to have fun!

Exhibition Tips
 

Concessions
 
Aramark Sports and Entertainment Services will provide all food and beverage sales during the event.
 
Move-In/Out
 
Vendors will enter the rear of the Round Up Inn off Burnett-Tandy Street.  There will be a coned off area on left is for load-in/load-out.  An armed guard will be onsite during move-in and move out to direct traffic and answer questions.
 
Vendors may choose to set up Friday, July 25, 2008 from 6:00pm - 10:00pm or Saturday, July 26, 2008 no earlier than 7:00am.  All vendors should be set up and ready for the public by 9:45am.
 
Move-out begins at 5:00pm Sunday, July 27, 2008 and must be completed by 9:00pm.
 
Please do not load-in/out through main entrance, elevators or escalators in front of the building.
 
Vendor Check-In
 
Please check in before setting up your booth.  There will be a table located by the back doors, of the Round Up Inn .
 
Booth Configuration and Vendor Responsibilities
 
Electricity is FREE and available to those who requested it on your contract.
 
Electricity is only available on the end caps of each isles, so it is your responsibility to bring an extension cord and power strips to supply the power to your booth.  Please bring and use duct tape to properly secure your extension cord and power strip to the floor
 
If required, one 8' table will be provided for you.  Your booth will also be supplied with two chairs at the time of your arrival.
 
Everyone must provide additional tables, table skirting, banners and table decorations. If you wish you hang anything from the pipe and draping you need to supply and use S-clip shower curtain hangers.
 
Superior Exposition Services is configuring and installing the pipe and draping for the event.  If you require furniture or accessories for your booth, you may rent directly from them.  The Exhibitor Kit contains a list of products and services provided by Superior Exposition Services.  All orders must be submitted to Superior Exposition Services by July 18, 2008.

Please bring duct tape so that you can properly tape down your cords.
 
Show attire is Business Casual. We suggest that you wear comfortable shoes.
 
Wi-Fi Connectivity
 
Free Wi-Fi connectivity is available at the Will Rogers Memorial Center.  No username or password is required. 

Any Wi-Fi capable machine can connect when the hotspot appears on the scan results.
 
There are some drawbacks to this free hotspot.  The connection is unsecure and open to anyone.  Service will degrade if too many users connect and there is no support to troubleshoot if problems arise.

Door Prizes

Please have your door prize(s) valued at $50.00 ready and available to the event coordinator Saturday morning. Provide us with a short description and your business name so that we may give a short promo when the products winner is drawn.

Decorations/Signs
 
Decorations, signs, banners, streams, etc. may not be taped, nailed or otherwise fastened to any ceiling, window, equipment, painted surface, wall or door of the Will Rogers Memorial Center.  Our event coordinator must approve any special decorations or signs.
 
Give-Aways
 
Exhibitors may give away free items to event attendees, with the exception of items such as firearms, other weapons, helium filled balloons, stickers or decals.  Food and beverage sample items have specific limitations. 
 
Restrictions
 
Helium filled balloons are not allowed in any part of the Will Rogers Memorial Center either for display, decoration, give away or for sale.  For decoration purposes, air filled balloons may be used.
 
Glitter and/or confetti of any type are not allowed without prior approval of the Will Rogers Memorial Center Management.  Additional charges may apply for cleanup.
